IMPORTANT INFORMATION

MITOS S.A. is a company with a long-established history and distinguished tradition in the organization of conferences since 1988. For more than thirty-eight (38) years, the company has been engaged in the planning and execution of scientific conferences in collaboration with prominent institutions and universities worldwide.

Throughout this extensive, and reputable professional course, MITOS S.A. has organized more than 200 successful conferences and meetings, always conducting its business with the utmost professionalism and integrity, has never, to date, encountered any issues or disputes or even complains by organizers or participants.

In the same spirit of professionalism, MITOS S.A. has been cooperating with the Organizer since 2019, as the official PCO for the “Dynamics of Nonequilibrium International Crete Symposium,” annual meeting, consistently demonstrating exemplary professional conduct and strict observance of the highest ethical standards.

In this context, as of the end of the previous year event (Summer 2025), MITOS S.A. was assigned to proceed with the organization of the 2026 event at the same venue and at a period agreed with the organizer(s). Thus, for over 9 months, MITOS SA commenced all necessary preparations for the organization of the “Dynamics of Nonequilibrium XIV International Crete Symposium,” in line with its established practice over the past years.

During this period, and up to the beginning of March 2026, the MITOS Team worked closely with the meeting chair Prof. M. Rafailov, exchanging frequent mails and complying with all instructed directives.

Under his guidance and instructions, MITOS S.A. has been developing the corresponding meeting materials and communications with participants providing clear scientific and technical details regarding all aspects of a professional planning as has always done so as the sole PCO for this series over the last few years.

Suddenly, and while a number of meeting participants had started submitting their registrations and Hotel bookings, on March 18, 2026 MITOS S.A. received an e-mail by the meeting Chair, quote: “….I am rescheduling the event at other place and time”, see the attached mail: Chairs' Message 18 March, putting the meeting organization at stake and all procedures at hold. At that date, this statement activated the “zero refund” policy under the general “terms and Conditions” clearly displayed at the official meeting site.

In the following two weeks, and despite MITOS’s efforts to convince the Chair that such a decision will have severe implications and consequences, he has selected the route to mislead all prospective participants and subsequently announce a new venue as clearly evidenced in the attached file: Chairs' Venue Post

In light of the above, and always in accordance with the disclaimer stated on  MITOS S.A. Conference website in the Terms and Conditions part, which explicitly states that: “In the event of a meeting cancellation at the said venue and period for any reason beyond MITOS's control or responsibility, a zero refund policy applies towards all advance payments made thus far,” any financial claims by participants should be addressed solely and exclusively to the Organizer himself. The purpose of such a disclaimer is that in the specific case that the organizer changes the venue for his own reasons, MITOS S.A. will use the paid fees in order to pay all the obligations (conference rooms, participants rooms etc.) towards the canceled venue.

Needless to mention that MITOS has also initiated legal procedures against the Organizer for damages caused seeking the decision of the local courts and with the same must proceed the participants that had already paid for the first venue.
